We get a lot of catering inquiries in summer, and most of them have the same questions. Here is a plain account of how the process works, from the first email to the end of the event.
The inquiry and booking process ¶
The fastest way to start is the catering inquiry form on our website. We ask for the event date, location, approximate guest count, and any dietary considerations. We reply within two business days with availability and a per-person estimate. If you want to move forward, we take a 30% deposit to hold the date. The balance is due one week before the event. We do not hold dates without a deposit.
Flavor selection ¶
We bring up to eight flavors to catered events. You choose from whatever is on the current menu at the time of your event, which we will share with you approximately two weeks out. We always include at least one dairy-free sorbet. If you have guests with specific dietary needs, let us know in the inquiry and we will work around them where we can. We cannot guarantee a nut-free environment because pistachio is almost always on the menu.
Setup and service ¶
We arrive 45 minutes before service begins to set up the dipping cabinet and organize the flavors. We bring our own table, signage, and serving equipment. We need access to a standard 120V outlet for the cabinet. We handle all service ourselves. You do not need to provide staff. Breakdown takes about 30 minutes after the last scoop is served.
Range and minimums ¶
We serve events within 30 miles of Westport, CT. The minimum is 50 guests. For events over 150 guests, we bring a second cabinet and additional staff. The per-person rate is $18 for events up to 100 guests and $16 for events over 100. Gelato cakes can be added to any catering booking at the standard cake pricing.
